ESRI (UK) Agreement - FAQs

How do I get access to GIS Software?
ESRI is a world leading developer and supplier of GIS. ESRI software is available through the Eduserv, an organisation which acts as a focal point for the supply of software, data, information, training materials and other IT related products to educational institutions in the UK.

Universities and colleges can subscribe to this scheme on an individual basis.

How do I know if my university subscribes to the scheme?
Email Eduserv Help - help@eduserv.org.uk- to find out if your institution already subscribes to this scheme and, if so, the contact on your campus who can make the software available to you.

What software is available?
Almost the complete range of ESRI software is available through this scheme.

Only certain products with components from third-party companies are not available. You will need to check that the product you require is included in the option to which your institution currently subscribes.

How do I get access to the latest version of the software?
All ESRI Chest sites are sent the latest version of the software at the same time as other ESRI (UK) customers. However each site has a different policy and so may not install the latest version across campus immediately. Please contact your Technical Contact for more information about how you can access the latest version.

What does the software cost?
There are nine different package options, at different prices, giving access to different collections of ESRI software. The scheme represents excellent value for money as it gives around a 95% discount on commercial software prices.

If your university is already a member of the scheme then the contact for your site should provide you with information on the way the scheme is paid for within your particular institution.

What can the software be used for?
The software may be used by any employee, student or other person authorised by the Licensee for the purposes of the normal business of the Licensee's organisation, whether or not they are located on the Licensee's premises as long as they are located within the UK or the Republic of Ireland. Such use includes: teaching; research; personal educational development; administration and management of the business of the Licensee's organisation; and development work associated with the above. The software cannot be used for any training course or teaching programme to a commercial or government organisation.

Is there any training for me on the use of the software?
ESRI (UK) provides a broad range of training courses run on a regular basis. More information is available at www.esriuk.com/training. Participants in the Eduserv Chest scheme can get a 50% discount on the current list price of any course. To receive your 50% discount you must register by telephone on 01296 745504 and specify that you are licensed through the Chest Agreeement.

We also recommend ESRI's virtual campus, click here to get to the home page. Many courses on Virtual Campus are free.  Some of the charged courses on Virtual Campus are free to academic users and there is a discount available on the remaining courses. Your site contact can log into this site to generate a code for you to access a specific course off of the Virtual Campus. Please contact your site contact (email Eduserv Help help@eduserv.org.uk to request details of your site contacts).

How do I get technical support?
You should contact the ESRI Chest Technical Contact in your university. If you are unsure who the primary contact person at your university is, please contact Eduserv Help: help@eduserv.org.uk If this contact cannot help you, they can contact ESRI (UK)'s technical support desk on your behalf.

Can I take the software abroad for a project?
The Eduserv Chest scheme only provides for use of the software in the UK. In other countries, ESRI software is licensed locally by other parts of the ESRI business network and there are commercial or legal restrictions on taking the GIS software supplied through the Chest agreement to other countries. It is possible to request to take the software out of the country for a short time for fieldwork or for attendance at a conference. An overseas use request form (available from Eduserv Help) must be completed and sent to ESRI.

Can the software be used for paid-for research project work?
Not without prior permission arranged through Eduserv Chest and ESRI (UK). The software is provided at a significant discount on the basis that academic institutions will not be taking commercial advantage of ESRI's intellectual property.

If your project has a commercial element please contact Eduserv Help who can forward your query onto the relevant person at ESRI (UK) for clarification on the licensing conditions.

Can the software be used for the provision of paid-for training courses offered to external commercial organisations?
No. The software is provided at a significant discount on the basis that academic institutions will not be taking commercial advantage of ESRI's intellectual property. You will need to purchase the appropriate type and number of software licences from ESRI (UK) to provide commercial training courses.

Can the software be used for development of a product that will be sold commercially?
No. The software is provided at a significant discount on the basis that Universities will not be taking commercial advantage of ESRI's intellectual property.

I have just become aware of the One Year time limited student edition of ArcView. Is this something we can make available to students under our Chest Agreement, possibly even without cost?
You are probably referring to the information on this ESRI page. ESRI (UK) would like to confirm that any Chest site with a site licence (so option 1 - 4) is entitled to free 1 year ArcView CD's for students. These can only be ordered in batches of 20 from ESRI (UK) using the appropriate form available on the Eduserv website.

Please note that under the Chest agreement sites are able to copy the media and licence single use copies of ArcView without having these CDs. ESRI (UK) has a limited supply of these at any one time so sites are requested that they only order these if absolutely necessary. We appreciate that especially at smaller sites these would be extremely useful.

Please ask your contact to complete the relevant form and send to ESRI (UK). Where the software is being taken overseas this would still need to be agreed with ESRI (UK).

Whatis a USB Hardware Key?
The USB Hardware Key is the same as the USB Dongle and is required for PC ArcInfo v9 and concurrent Arcview v9 software. If you do require additional dongles please note that these will now incur a fee,£30 per dongle for orders of 10 or more or £50 per dongle for orders for fewer quantities. Please complete the dongle form to order these from ESRI (UK). Institutional policy should determine whether this charge is passed onto end users or not.

Why are ESRI (UK) now charging for dongles?
ESRI (UK) has to purchase dongles from ESRI Inc and due to the high numbers being requested by academic users ESRI (UK) can no longer continue to subsidise this cost.

Is there an alternative to Dongles?
Yes, ESRI now support use of the PC MAC address for the licence server serial number, as an alternative to the use of a dongle. This is in addition to the existing alternatives, eg network licensing from a UNIX or Windows platform. If you just require ArcView licences, then we would suggest the best method of installing the software on standalone machines, is to use the single user licence, rather than concurrent licences.

What do I need to do if I'm upgrading to Microsoft Vista and Office 2007?
These require a minimum of version 9.2 service pack 4 which is downloadable from the ESRI Website. Alternatively upgrade to version 9.3.

What happened to MapObjects?
MapObjects, although currently is offered as a commercial product, will not be available from ESRI Inc. for the duration of this agreement. It was therefore deemed sensible to remove it from this contract as it is a 3.5 year agreement. EDN is now being offered in this agreement and although is a different product we hope will satisfy developers within the academic community.

Which product do we need to licence to get SDE?
At ArcGIS 9.2, ArcSDE is no longer a stand-alone product. It is now known as ArcSDE technology and is included with both the ArcGIS Desktop and ArcGIS Server products. You need the server licence if you run a central SDE access to, for example, Oracle.

Which product do we need to licence to get ArcGIS Server WorkGroup?
Educational Pricing for ArcGIS Server Workgroup is not offered by ESRI Inc. at all and so cannot be included in this agreement. We have instead included ArcGIS Server Advanced Enterprise.

What are ESRI Development Centres?
The ESRI Development Centre (EDC) program provides recognition and special status to university departments that have exemplary programmes focused on educating students to design and develop GIS applications using ESRI's ArcGIS desktop or server technology. More information can be found on the ESRI website here.

Please note that here in the UK there are specific differences:

· Sites applying must be Chest sites with a site license agreement (so not on option 5 of the Chest agreement)

· We will offer the two instructor led courses per year and they will be valid for 12 months from instigation. Please state EDC when booking your course with ESRI (UK)

· We will not offer any additional technical contacts - so the EDC GIS Specialist has to be one of the technical contacts under the Chest agreement

The contract sent to you by ESRI (UK) will reflect the above.

To apply, please submit your application following the directions on the ESRI.com EDC website (as above). This should be submitted tohighered@esri.com as a pdf.

Your application will be reviewed by ESRI Inc. and ESRI (UK). If approved you will be sent an email from ESRI (UK) detailing what will happen next regarding the contract. We would like to encourage UK and Irish institutions to apply for this but please do note what you must have to qualify. These are listed on the EDC website.

ESRI will provide one complimentary registration to every Site participating in the Agreement to attend both the annual ESRI Education User Conference (EdUC) and the ESRI International User Conference (UC) that takes place in the United States during the period of the Agreement. Delegates should register online at www.esri.com/uc, use customer number 2637 and select the complimentary place option. This provides access to the main conference and education conference only and does not provide for attendance at seminars where extra charges apply or other activities, nor does it cover delegate travel and subsistence.

Does this also apply to the ESRI Europe, Middle East and Africa user conferences?
No this offer does not cover the Europe or Middle East and Africa conference or any ESRI (UK) user conference.
